Paycheck Calculators

The Paycheck Calculator - Here you may calculate your net pay or "take home pay." Take home pay is what is left from your wages after withholdings for taxes and deductions for benefits have been subtracted. Salaried employees can enter either their annual salary or earnings per pay period.

The Gross-Up Calculator - This calculator determines the amount of gross wages before taxes and deductions are withheld, given a specific take-home pay amount.

The Hourly Paycheck Calculator - Here you may calculate take home pay based on up to six different hourly pay rates that you enter. This is perfect for those who are paid on a changing hourly basis.

The W-4 Assistant - This tool will take you step by step through the process of filling out a Form W-4. The W-4 form determines how much of your pay is withheld to pay Federal, and in some cases, state and local taxes. As the last step, you can even print an official copy to give to the payroll department at your company.

The 401(k) Calculator - This calculator helps you plan for the future. Simply fill in your paycheck and 401(k) numbers. You can adjust the rate of return, contribution percentage and current plan balance to determine the value of your money in the future. This information is shown in both graphical and table format.

When can I pick up my payroll?

For AM pick up or delivery you need to submit your data by 1:00 PM the previous day.  For PM pick up or delivery you’ll want to get your data to us by 10:00 AM that same day.

How soon before payroll do I need to send in my payroll information?

If you are a tax impound client or you offer your employees direct deposit you should have your payroll to Payroll Specialties at least 48 hours before the date of your payroll.

I’m hiring someone new.  What information do I need from them?

You will want to have new employees complete an I-9 form and a W-4.  Keep copies of both in addition to copies of the supporting documents for the I-9 in your records.

Where can I get forms?

At the top of the screen you will see a menu option labeled "Forms", click on that to see all of our forms.  You can also call us and we’ll be happy to get any forms to you.

What does Payroll Specialties need when I hire a new employee?

Payroll Specialties needs a copy of the W-4 and a New Employee Set-Up form. It is best to send this data with the first payroll in which the employee will be paid.

How soon do I need to pay an employee that is leaving?

If the employee is being involuntarily terminated (fired) you should have their check available by the end of the first business day after termination.

If the employee leaves voluntarily and gives at least 48 hours notice you should have the check available to them when they leave.

If the employee leaves and gives no notice you should provide their check to them by the next regular payday or 5 business days, whichever is earlier.

Do I need to run a separate payroll to pay a terminated employee?

You can run a separate payroll to generate a final paycheck.  A less expensive and faster alternative is to run a manual check.  You simply call, fax or e-mail the payroll data to be included in the final check.  Payroll Specialties will then figure the net amount and you can write a check for that amount.

I need information from a previous year i.e. Check stub, W-2, 941.  Can I get those from Payroll ?

We are able to reprint reports from previous years.  Just contact your processor and he/she will be happy to get that information to you.

What do I do when I receive a garnishment for one of my employees?

The first thing you should do is determine what type of garnishment you’ve received.  Child support garnishments are treated differently than creditor garnishments.  Tax levies are also treat ed differently than some garnishments.  Confidentiality is essential when dealing with garnishments.  In some cases you aren’t allowed to show the paperwork to the employee.  The best thing to do is call Payroll Specialties when you receive garnishment paperwork before proceeding.

I see the garnishment payment has been deducted from the employee’s check.  Now what?

You have two options. First, you can cut a check to the agency out of your account or we can write the check for you. Just let your processor know which option you would like to choose.

I just received my payroll.  What do I do?

There are several steps you should take before actually handing out your checks.  It’s a good idea to double-check the checks before handing them out.  As you check the checks you can sign the ones that are not being deposited directly.  We also advise that you look over the reports included.  If you have questions about the reports please give us a call, we’ll be happy to go over them with you.


What is the most important thing an employee can do when he/she receives their first payroll check?
An employee should review information such as social security number, marital status & withholding exemptions, name & address on their first payroll check. Any inaccuracies should be directed to their employer as soon as possible.

What do I do if I find out an employee has an incorrect social security number?
Please call your Payroll Specialties payroll specialist for the best resolution. Payroll Specialties  deals with these types of corrections on a regular basis and can quickly correct these errors.

Do I need to send you the quarterly wage & withholding form (941) I receive from the IRS?
Payroll Specialties prepares and prints all quarterly & year- end forms. If however, you have employees in states other than Oregon, we request all correspondence for that particular state is forwarded to us. If there is ever any question fax or mail us.

How should the employee listing worksheet be filled out?
Fill in categorized columns to the right of each employee, marking hours, wages, deductions and or reimbursements. For salaried employees, circle the salary amount and write "pay." For changes in salary, wages, withholdings, terminations or address changes, please line through old information and write new information beside it. If additional columns/categories need to be added to your worksheet, please contact your payroll specialist for customized worksheets.

How far back do you retain files?
Each client varies. Please call your Payroll Specialties payroll specialist for reports or information as needed.

What is the latest I can have payroll to you for next day delivery, with or without direct deposit?

If your employees do not have direct deposit, payroll must be in by 10:30 AM, for same day pick up. For next day delivery, payroll must be in by 2:00 PM. If your employees have direct deposit, we request that the payroll be received 2 business days (48 hours) prior to the check date.

When is the tax impound & direct deposit monies withdrawn from my account?
Tax deposits will be debited the same day as the check date. Employee Di rect Deposits will be debited 48 hours prior to check date.
